Welcome to month 2 of a great new year and IA&A Technologies e-NEWS. This FREE technology e-zine is published monthly to keep business people informed of the latest technology available to improve your efficiency, reduce your costs, increase your profitability, offer you substantial discounts on quality products all in an easy to read format.

How to ensure you never lose a call!

Receptionist Lost or abandoned calls come from a variety of factors. Provided below is a summary of these factors and the solutions offered by the Receptionist™:

(1) Receptionist overload:

Where the receptionist is flat-out answering calls, therefore, the caller's call rings out or the caller gives up after many rings.

Receptionist™ assists by:  taking "overflow" calls after a preset number of rings and provides the caller with a transfer menu to choose from or the option to stay on hold if they so choose. 

(2) Stuck on hold:

Where a caller is placed on hold due to a busy receptionist and is forced to wait and wait and wait and then gives up.

Receptionist™ assists by:  providing the caller with the option to either stay on hold and wait for the operator or go directly to the desired extension or department via the auto-attendant menu, or help themselves to info and services through the Intelligent On Hold™ menu options. 

(3) Lost call or transferred to wrong extension:

Where a caller is lost in the transfer process, sent to the wrong person/department or accidentally cut-off by the operator whilst transferring.

Receptionist™ assists by: transferring calls automatically, therefore erroneous transfers or accidental disconnections cannot occur 

(4) Extension rings out or is busy:

The caller goes to correct extension but cannot get hold of the person because they are away from their desk or on the phone, or even worse, the phone system sends the customer back to reception and they end up back on hold whilst the busy receptionist fields other calls.

Receptionist™ assists by: providing the caller with a series of options – if the extension is busy or unattended, for example

"I'm either on the phone or away from my desk, please choose from the following options:

  • to leave me a voicemail message just stay on the phone;
  • to be transferred to my mobile press 1;
  • to see if my personal Intelligent Assistant can answer your query press 2;
  • to return to reception press 0; or
  • to hear this again press 8"
(5) Unattended after hours calls
When the business is closed and the phone rings out, or even worse, an after-hours answering machine takes the message and it does not get passed onto the desired person.

Receptionist™ assists by: automatically (in real time) switching on a customised after hours message at the desired time(s) so that it need not be remembered by the "last to leave". Also, the Receptionist™ can offer an after hours menu which enables the customer to get to the extension of the person they are after to leave a message or to be transferred to the persons mobile or after hours number.

Q1) We are a small business and can get a voicemail card from our PABX supplier for around AU$1500, why should we rather choose IA&A Technologies' system?

A1) Why not - we are giving it away for free! You just need the hardware which is a 4 port analogue professional telephony card (for the entry level system) and a PC that can be kept on 24 hours a day to house the card. The great thing with our solution that the other voicemails don't have, is the ability to plug in custom designed dialogues (via the Intelligent Assistant modules), that will give your callers automated access to  frequently asked information, automated bookings, automated purchases, etc. if you can describe it we can create it!

Q2) You say FREE! but are there any hidden costs? Why are you giving it away FREE anyway?

A2) The software is free - call it freeware if you like. Your only costs are the hardware to make it run, and installation, and if you don't feel like getting that from us you don't have to. 
   IA&A Technologies' goal is not to compete with existing Voicemail and Autoattendant products currently on the market, our goal is to give businesses the option to upgrade from a standard call handling system to one with "intelligence". The Intelligent Assistant customisations are where we feel your business will get your customers knowing you care for their needs. Your customers then know they can call 24 hours a day, access info they request, make confirmed bookings, and do intelligent predictable tasks automatically. If its a real person they want to speak with - that is always the highest priority on the system, but when no one is available, or busy on another call, callers at least have Intelligent Assistant options.

Q3) We are a PABX supplier and may consider reselling your Autoattendant and Voicemail systems, but most of our customers feel a cheap answering machine is good enough, what do you suggest we say to them?

A3) If they have a PC or server with WindowsNT/2000/XP (Linux will be an option) and a professional telephony card, you can give them the Autoattendant & Voicemail software for FREE! They will just pay for your time to set things up and train them. They could try to figure things out themselves (hence pay nothing), but our experience tells us that they will spend more in business man hours figuring it out, than getting the professionals in to set things up. They can also rent any hardware they need including installation from as little as $23 per week. [based on 3 year agreement renting of 4 port analogue telephony card (RRP $1499 excl. Q4) We are a national business with a 1800 phone number, we need a system to automatically take seminar bookings over the phone as opposed to hiring out a whole call centre. Does this classify as a FREE autoattendant? And can you do it?

A4) If you just wanted your callers to choose a department, or enter the first three letters corresponding to person they wish speak to, and the option to just leave a message or transfer to a mobile phone, that will all be covered by the FREE Autoattendant and FREE Voicemail offer.
  You will need us to custom design a dialogue that would update data that allowed your callers to make a reservation. Callers would then be prompted to select which seminar they would like, they could find out more about the seminar if they liked, they can then reserve seats, and make a payment deposit via credit card, their phone number and a reference number would be all they needed for their confirmed reservation. We can do this at a fixed price or hourly rate, depending on how many options your want your callers to have.

Q5) Will the lamp on our handsets light up if we have messages? How can we access our voicemail messages?

A5) Some PABXs have specific in band signalling protocols that our software can send and receive to activate or deactivate the message waiting lamp. We would like feedback from you or your current PABX supplier as to specifications for this signalling, in order for us to configure the message lamps (some PABXs do not allow for third party voicemail systems- ours will still work with them if there are available analogue extensions). 
  Messages can be accessed over the phone by dialling into your voicemail box, and accessing messages once you have entered your passcode. Messages can also optionally be accessed directly from the server / PC, as they are stored as .wav files and can play over your PC's speakers. An email to you with your messages as an attachment is also an upgrade option. 

Q6) Do we have to pay to get the dialogue recordings changed?

A6) The FREE Autoattendant and Voicemail come with standard recorded prompts that can be tailored to your business image using our in house voice talents (or yours!). There is no charge for the initial setup, which will include background theme music if desired. If you choose to have professional personalities for your recordings, then there are costs involved. There are also costs involved if you decide to make dialogue changes months after the system is up and running. You can make simple changes to things like voicemail greetings, and company greetings, and even on-hold messages at no cost, by just accessing user options when dialling into the system and opting to change prompts over the phone. You can also change all prompts through .wav file editing software.
